Optimising processes while limiting fraud

The dematerialisation of documents accelerates processes and reduces operational costs. However, it raises a central question: how can a level of trust equivalent to, or higher than, that of paper be maintained?

The challenge: dematerialising
while ensuring authenticity

In road construction, the production and delivery of asphalt rely on a key document: the delivery note.

This document is used to:

  • confirm the quantities produced and delivered
  • trigger invoicing
  • serve as a reference in the event of inspections, audits or disputes

Historically, these delivery notes were printed on paper using dedicated devices to ensure their authenticity.

However, this model presents several limitations:

  • dependence on printing equipment
  • logistical management of paper
  • physical archiving
  • risks of error or loss
  • potential fraud affecting documents

The dematerialisation of delivery notes therefore raises a fundamental question:
How can the reliability of a digital document replacing paper evidence be ensured?

    Securing documents
    from the point of issue

The AQP standard (NF P 98-750) establishes a framework designed to ensure the reliability of digital delivery notes. The solution is based on a straightforward approach: securing the document at the time of its creation so that any subsequent alteration becomes detectable. This security relies on three complementary mechanisms.

    horodatage qualifié

    Qualified timestamping

Each delivery note is timestamped at the moment of issue, ensuring its creation date and enabling any subsequent modification to be immediately identified.

    cachet électronique

    Electronic seal

The delivery notes are also sealed with the organisation’s electronic seal, ensuring the identity of the issuer, the integrity of the document and the absence of modification after issuance.

    archivage électronique

    Electronic archiving

The delivery notes are then stored in a secure archiving system, ensuring their integrity, traceability and evidential value over time, particularly in the event of an inspection or dispute.

    An automated process
completed in a matter of seconds

Step 1: The delivery note is generated in PDF format by the weighing software and automatically sent to our trust services platform via API.

Step 2: The delivery note is then:

    • assigned a unique and sequential serial number compliant with AQP requirements
    • electronically sealed and timestamped
    • marked with a visible signaturestating: “certified compliant with NF P 98-750 standard”
    • enhanced with a QR code, enabling any person to download the certified delivery note and verify its authenticity using a smartphone

Step 3: The certified delivery note is securely archived for the applicable statutory retention period.

Step 4: The driver may receive the delivery note via:

    • SMS
    • email
    • or a printed receipt format from a kiosk printerlocatednear the weighbridge

    Our solutions replace paper
    while strengthening trust

    Improved operational efficiency

Documents are immediately accessible, facilitating checks by auditors, clients and their own customers.

    Enhanced on-site safety

Drivers no longer need to move around to collect a paper document, thereby reducing the risk of accidents.

    Strengthened digital evidence

Each delivery note is timestamped, electronically sealed and archived, ensuring reliable traceability during audits or in the event of a dispute.
